Branch Transfer

Branch Transfer program is used for those systems who have more than one branch. On a basic level, this allows you to transfer stock from one branch to another.


Header Area



Post Date - Select the date of the transfer.


Reference - Enter the reference number for this transfer.


Branch From - Select the branch to transfer the selected items from.


Branch To - Select the branch to transfer the selected items to.


Status - The status of the transfer.  It can be either Open, such as a saved branch transfer, or Closed which is a processed branch transfer.


Grid Area





Item Code - Select the item code by clicking on the ellipsis ... , press F4 to bring up a list or by typing in the item code.


Description - Tells what the item is all about.


Qty - Enter the quantity you wish to transfer.


Buttons



Abort - Aborts the branch transfer.


Auto Create - There is now a button in the Branch Transfer screen which essentially allows you to order stock from your other branch based on sales history &/or min and max levels set on the stock master files. This screen has the same options as the Auto Create button in the Stock Order screen (as you can also order from your suppliers this way) - see your F1 help for more info.


Preview - Previews a Branch Transfer report outlining the details of the transfer including the branches involved, date, reference number, item and description and quantity transferred.


Process - Click to process branch transfer


Warehouse Order - Click for warehouse order



Process - Processes the branch transfer and prints the Branch Transfer report.


Warehouse Order - Functionality around ordering from a warehouse as opposed to a standard supplier has been added. Details below:

Branch and Warehouse Function Summary
The Parts Order Management system is an integration of the Stock Order and Branch Transfer functions in Autosoft. It is designed to facilitate the process of identifying, ordering, transferring and receiving specific parts from a Warehouse location to any number of branch locations.

A summary of the process is as follows:

To use this functionally, follow this Setup Guide

1. Turn on the Stock Order Management function

Utilities > System Setup > System File

Tick the Manually Receive Branch Transfer option (left hand side, 5th option from the top)


2. Setup a Warehouse Creditor

Account > Creditors > Creditor Master File

Identify an existing Creditor or create a new one that will be used by the branches to order stock from.

3. Set the Warehouse Supplier in the Stock Master File

Utilities > System Setup > System File

In the bottom left corner is a new Warehouse Supplier field.

From the selection list, choose the Warehouse Supplier creditor:

Click on Save and then close the system file.

4. Parts Setup

Log into Autosoft and select a branch location.

Each individual part that the warehouse could supply to a branch location needs to be configured in the Parts Stock Master File.

Parts > Stock > Stock Master File

Select a part which the warehouse will supply to the branch location.

Click on the Stock Options tab

There is a new checkbox, Warehouse is Supplier that identifies this part as being available to be supplied by the warehouse.

For each part that the warehouse can supply, tick this option then save the change by pressing F2.

Once this option is enabled the part is identified as being able to be supplied by the warehouse to all branches.

**A script can be done to turn this option on for all parts or from a spreadsheet of parts numbers , please contact Autosoft support support@autosoft.com.au for more information. **

At this point you can also double check the maximum and minimum stock levels for each part. The max and min values are specific to the branch you have logged in to.


Using this Feature

1. Creating Branch Stock Orders for the Warehouse

When a branch location wishes to order stock from the warehouse they create a parts stock order.

Parts > Stock > Stock Order

Select the supplier as the Warehouse Creditor identified in the System File.

Parts can be added to the Stock Order manually however the branch locations can utilise a new option via Auto Create to identify warehouse items and add them to the stock order.

Click on the Auto Create button, the following screen will be displayed:

Select the Warehouse Items Only option along with any other selection criteria required and proceed with the Auto Create by clicking on OK and then confirming the creation.

The Stock Order process will then take place and the branch stock order will be populated with parts that need to be ordered that can be supplied by the warehouse.

For example:


Once the order is completed, click on Finalise.

You can print out a copy of the stock order and send it to the warehouse or setup an e-mail address for the warehouse orders and e-mail the stock order.

Once the order has been finalised you will receive an order number:


2. Warehouse: Picking and processing branch orders

The warehouse will receive stock orders from the branch sites. They can pick the stock and the initiate the transfer of the picked stock to the originating branch.

To transfer stock ordered from the warehouse to a branch location do the following:


1. Parts > Stock > Branch Transfer

Set the Branch From as the Warehouse branch

Set the Branch To as the branch site that originated the stock order.

2. Click on Warehouse Order the following screen will be displayed:

You will see a list of open warehouse stock orders, the above example shows only one order but you may have many open orders showing. Select the appropriate stock order and click on OK.

The contents of the stock order will be copied to the Branch Transfer screen:

The parts quantities can be amended as required, for example only 8 of TEST_PART may be being sent to the branch site, amend the quantity from 10 to 8. A part can be removed from the branch transfer by deleting the line (shift-f2).

Click on Process to finalise the Branch Transfer. Print a copy of the branch transfer receipt. Note the reference number.
